In many Ghanaian SMEs, customer information lives in several places at once: a sales rep’s phone contacts, a receipt book, an Excel file on the office PC and a WhatsApp group or two. When that rep leaves, the relationships often leave too. A customer relationship management (CRM) system brings everything into one database the business owns.
Mailpro focuses on the customer-database and communication side of CRM, giving small and mid-sized organisations a structured contact list, segmentation, history of what each person received and how they responded, and the ability to reach them by email or SMS. For a primer, see what is CRM.
What you can manage
- Contacts and fields. Store names, emails, +233 mobile numbers, region, branch, customer type and any custom field you need.
- Lists and segments. Group contacts by city, product interest or engagement with segmentation.
- Tags. Label contacts such as “Trade fair 2026”, “Diaspora” or “Wholesale” to find them quickly.
- Activity. See who opened, clicked or unsubscribed from each message.
- Forms and surveys. New sign-ups and responses flow straight into your contact lists.
Examples from Ghanaian sectors
Retail and e-commerce
A fashion retailer with shops in Accra and Kumasi can segment customers by store and send each group its own new-arrivals email, followed by an SMS on the day of a sale.
Education
A private school can hold parent contacts by class, send fee reminders automatically and keep alumni in a separate list for fundraising.
Agribusiness and trade
An exporter can keep international buyers and local suppliers apart, sending market updates to one group and collection schedules to the other.
Financial services
A microfinance institution can segment by product and branch, and send security reminders and product news to the right customers.
Data protection and your CRM
A customer database is exactly what Ghana’s Data Protection Act, 2012 (Act 843) is designed to protect. Organisations that process personal data register with the Data Protection Commission, keep data accurate and secure, and use it for direct marketing only with prior consent. Choosing where the database is hosted is part of that responsibility. Mailpro keeps data on private infrastructure in Switzerland, outside US jurisdiction, encrypts connections with TLS 1.3 and never sells or rents data. Read more on why Switzerland.
Keep the database clean
A CRM is only as good as its data. Standardise phone numbers to +233 format, merge duplicates created when the same customer registered twice, and record where each contact came from and whether they consented to marketing. Review inactive contacts once a year and send them a re-permission email rather than letting the list decay.
Who should have access
Give each team member their own login with only the access they need, rather than sharing one password across the office. It protects customer data, and makes it clear who changed what.
Connecting other tools
If you already use a sales CRM, you can connect it; Mailpro offers integrations such as Salesforce, and the Mailpro API lets developers sync contacts from your own systems.
Start small
Import your existing spreadsheet, clean duplicates, add region and customer-type fields, and send your first segmented email. Mailpro is priced by sends rather than contacts, so a large database costs nothing extra to store. Get started with contact management and 500 free credits.
