Paper forms are still common in Ghana: at church registrations, school admissions, trade fair stands and bank branches. They are slow to process, easy to lose and hard to read. An online form collects the same information in a structured way, straight into your contact list, and people can fill it in on the phone they already carry.
Forms Ghanaian organisations build most
- Event and conference registration: seminars in Accra, product launches in Kumasi, alumni homecomings. See our registration form templates.
- Admissions and applications: private schools, training institutes, scholarship schemes and job openings.
- Customer enquiries: property viewings, insurance quotes, export orders.
- Newsletter and SMS sign-ups: with consent checkboxes for each channel.
- Farmer and member registration: cooperatives and associations capturing member details in the field.
Design for how people in Ghana use forms
Mobile first
Most people will open your form from a WhatsApp message, an SMS or an email on their phone. Keep it short, use large tap targets and avoid fields that are painful on a small keyboard.
Phone numbers
Ask for the mobile number and explain the format you want. Store it in international form (+233 followed by the number without its leading zero) so it works for SMS later.
Location
Offer a drop-down of Ghana’s 16 regions or your branches rather than a free-text address field; it makes segmentation much easier.
Branching
Show follow-up questions only when relevant, for example asking for a school’s campus only if the parent selects “Yes, I have a child enrolled”. Mailpro’s branching logic handles this.
Consent built in
Ghana’s Data Protection Act, 2012 (Act 843) requires prior written consent before using personal data for direct marketing. Add an unticked checkbox that states exactly what people will receive, and link to your privacy notice. With double opt-in, you also get a confirmed record of the subscription. Our page on permission to send email campaigns in Ghana covers the details.
Security and spam protection
Public forms attract bots and fake submissions. Mailpro offers CAPTCHA, domain filters and password protection for forms that should only be seen by members or staff. For sensitive forms, such as job applications or loan enquiries, collect only what you need and avoid asking for identity numbers unless the process truly requires them.
Start from a template
You do not need to begin with a blank page. Templates for contact enquiries, bookings, feedback and applications give you a tested structure; change the questions, add your logo and publish.
What happens to the answers
Responses flow into your Mailpro account, where you can view form statistics, export them or use them to trigger a welcome email. Data is stored on private infrastructure in Switzerland, outside US jurisdiction, and is never sold or rented. Form pricing is separate from email; see form pricing.
Share where people already are
Once the form is live, put the link where your audience already spends time: a WhatsApp status, an SMS to opted-in customers, your email signature, printed QR codes at your shop or stand. Mailpro’s form sharing options generate the link, QR code and embed code for you.
