Forms are where most Canadian marketing relationships begin: a newsletter sign-up, a quote request, an event registration. They are also where consent is captured and personal information is collected, so they carry obligations under CASL, PIPEDA and, for Quebec residents, Law 25. Mailpro’s form builder helps you get the design and the compliance right together.

What you can build

  • Newsletter and SMS sign-up forms with separate consent for each channel.
  • Event and course registrations, from hockey camps to professional development days.
  • Booking and appointment requests for clinics, salons and tour operators.
  • Contact and quote forms for trades and professional services.
  • Donation and volunteer forms for charities and community groups.

Start from ready-made form templates or from a blank page, and follow our walkthrough on creating an online form in Canada.

If a form collects an email or mobile number for marketing, add a consent checkbox that is unticked by default, with wording that states the purpose, names your business and notes that people can unsubscribe at any time. Pre-checked boxes are not accepted by the CRTC as express consent. Combine the form with double opt-in to get a confirmed, time-stamped record.

Privacy notices for PIPEDA and Law 25

Tell people what you collect, why, and where it is stored, with a link to your privacy policy. Quebec’s Law 25 expects this information to be given in clear and simple terms at the time of collection. Only ask for the fields you need: a newsletter sign-up rarely needs a birth date or phone number.

English and French forms

Publish a French version of each public form, or let visitors choose their language. The AI form translator can produce a first draft of the French version, which a native speaker should then review for Canadian usage. Capture the chosen language in a hidden field so your follow-up emails arrive in the same language.

Smarter forms

With branching logic, questions change based on earlier answers: a registration form can ask for a Quebec health card only if the participant selects Quebec, for example. Shorter, relevant forms get completed more often.

Match your brand

You can customize the design of each form, including colours, fonts and logo, so it looks at home on your website. Automatic confirmation emails reassure respondents that their submission arrived, in the language they used.

From form to follow-up

Every submission can add the contact to a list, trigger a confirmation email and start an automated email sequence. You can view responses in real time and export them when needed.

Keep spam out of your forms

Public forms attract bots, and fake sign-ups can damage your list and your sender reputation. Add a captcha to public forms, filter suspicious domains, and use double opt-in so only confirmed addresses reach your newsletter list.

Where responses are stored

Form responses are stored in Switzerland, outside US jurisdiction, encrypted in transit with TLS 1.3, and never sold or rented. That helps you meet PIPEDA’s accountability principle and document the assessment Law 25 requires before data leaves Quebec. Ready to collect subscribers? Read how to create a subscription form.
