Need cash before a mission or a large purchase? Request an advance: it will be deducted from your next expense report.
Use this templateThis cash advance request form lets employees ask for money before a mission, an event or a large purchase, instead of paying out of their own pocket. The amount, the reason and the payment details are collected on a single page, and the advance is then deducted from the next expense report.
Some expenses are too high to be advanced by staff: a long business trip, a stand at a trade fair, equipment bought on the spot. With this expense advance request form, the employee indicates the amount, the purpose (trip, event, equipment or other), a short explanation and the date the money is needed. They choose between a bank transfer and a top-up of the company card, provide their bank details if needed and sign a commitment to justify the expenses afterwards. Finance gets a clear, traceable request.
The amount advanced is deducted from the next expense report. If the expenses are lower, the employee repays the difference according to your policy.
Usually the employee's manager, then finance. The template asks for the manager's email so the request can be forwarded for approval.
No. This template covers business expenses only; a salary advance follows different rules, which you should check with HR.
