Furniture, clothes, toys, computers… Give your items a second life. Tell us what you would like to donate and we will tell you how to drop it off or arrange a pick-up.

Use this template

This in-kind donation form lets people offer furniture, clothes, toys, computers or kitchen items to your organisation. They describe what they want to give, its condition and how it can be collected, so you can accept only what you need and organise drop-offs or pick-ups.

What is an in-kind donation form for?

Accepting every item that turns up at the door quickly fills a warehouse. With this item donation form, the donor chooses one or more categories, gives a short description with the quantity and indicates the condition, from like new to used but working. Photos can be attached. The donor then says whether they will drop the items off or need a pick-up; in that case, the form asks for the address, the floor and access conditions (lift, stairs) and a preferred day. Contact details complete the offer, and your team decides before anyone travels.

Who is it for?

  • Charity shops, second-hand stores and solidarity outlets
  • Associations helping families, refugees or students set up home
  • Repair cafés and digital inclusion projects collecting computers
  • Schools, libraries and toy libraries accepting books and games

How to adapt it in Mailpro

  • Change the questions and texts: list only the categories you accept and state what you refuse.
  • Keep the photo upload: it is the best way to judge condition before accepting.
  • Thanks to conditional questions, the pick-up details only appear when the donor needs a collection.
  • Add your logo and colours, then share the form by link, QR code or in a Mailpro newsletter; offers arrive in Mailpro.

Tips

  • Publish your current needs regularly: priorities change with the seasons.
  • Group pick-ups by area and day to save time.
  • Reply to every donor, even to decline, and suggest another organisation if possible.
  • Check safety rules for electrical items and children's products before redistributing them.

Frequently asked questions

What is the difference between an in kind donation form and a donation form for money?

A financial donation form collects an amount and payment details. A goods donation form describes physical items, their condition and how to transport them.

Can donors send several types of items in one offer?

Yes. The first question accepts several answers, and the description field lets them list everything.

Do I have to accept every offer received?

No. The form is there precisely to let you choose what is useful before any drop-off or collection.
