A tag is a free-form label you attach to a contact — like «VIP», «cold-lead», «webinar-2026», «requested-demo». Unlike custom fields (which hold one value per contact), a contact can have many tags at once. Tags are the lightest, most flexible way to organize your list and trigger automations — and they take 30 seconds to create.

In short: Tags = many labels per contact, fast to add, easy to query. Custom fields = one value per attribute, structured. Use tags for behaviour and intent; use custom fields for facts.

Create a tag in 30 seconds

1. Open Lists → Contacts, find or import the contact. 2. In the contact details panel, click the Tags field. 3. Type the tag name — if it doesn’t exist, Mailpro creates it on the fly. 4. Press Enter. The tag is now attached.

Bulk-add a tag to many contacts

From the contact list, filter or search for the contacts you want to tag, select them all (the «Select all matching» checkbox covers more than one page), click Bulk action → Add tag, type or pick the tag, confirm. Done in seconds, even on a 100,000-contact list.

Trigger an automation when a tag is added

Mailpro’s automations can fire on the moment a tag is added. Combine with segments for advanced flows: when «demo-requested» is added → send the demo confirmation, wait 24h, send a follow-up if no reply.

Important: Tag names should be short, lowercase and hyphen-separated. «Black Friday 2026» works but «black-friday-2026» is easier to query and less prone to typos. Avoid spaces and special characters.

Cleaning up tags

Over time you accumulate one-off tags. Once a quarter, open Lists → Tags, archive obsolete tags (the contacts keep them in their history) or rename for clarity. Tags don’t cost anything — but a tidy taxonomy makes your campaigns easier to set up.
