A tag is a free-form label you attach to a contact — like «VIP», «cold-lead», «webinar-2026», «requested-demo». Unlike custom fields (which hold one value per contact), a contact can have many tags at once. Tags are the lightest, most flexible way to organize your list and trigger automations — and they take 30 seconds to create.
Create a tag in 30 seconds
1. Open Lists → Contacts, find or import the contact. 2. In the contact details panel, click the Tags field. 3. Type the tag name — if it doesn’t exist, Mailpro creates it on the fly. 4. Press Enter. The tag is now attached.
Bulk-add a tag to many contacts
From the contact list, filter or search for the contacts you want to tag, select them all (the «Select all matching» checkbox covers more than one page), click Bulk action → Add tag, type or pick the tag, confirm. Done in seconds, even on a 100,000-contact list.
Practical tag examples
| Tag | When to add it | How to use it |
|---|---|---|
| vip | Customer hits a revenue threshold | Exclusive offers, early access |
| demo-requested | Submitted the «Request a demo» form | Sales follow-up sequence |
| webinar-2026-feb | Registered for a specific event | Reminders, replay link |
| cold-lead | No engagement for 90 days | Re-engagement campaign |
| language-fr | Subscribed via the FR landing page | French-only campaigns |
| black-friday-2026 | Clicked any Black Friday email | Retargeting |
Tags vs segments vs custom fields
| Concept | Best for | Example |
|---|---|---|
| Tag | Many flexible labels per contact | «vip», «demo-requested» |
| Custom field | One structured value per contact | language = «EN» |
| Segment | Saved query combining tags + fields | «vip AND language=EN AND last_open < 30d» |
Trigger an automation when a tag is added
Mailpro’s automations can fire on the moment a tag is added. Combine with segments for advanced flows: when «demo-requested» is added → send the demo confirmation, wait 24h, send a follow-up if no reply.
Cleaning up tags
Over time you accumulate one-off tags. Once a quarter, open Lists → Tags, archive obsolete tags (the contacts keep them in their history) or rename for clarity. Tags don’t cost anything — but a tidy taxonomy makes your campaigns easier to set up.
Organize your contacts with tags
Mailpro’s tag organization works hand in hand with segmentation and automation. Read more in contact tags FAQ and how to use tags.
