Many small British organisations run their customer relationships from a mix of spreadsheets, an inbox and somebody’s memory. That works until a member asks what data you hold about them, a supporter complains they unsubscribed months ago, or a key member of staff leaves. Mailpro’s contact management gives you a single place for the people you communicate with, tied directly to your email, SMS, forms and surveys.
What Mailpro’s CRM covers
- Contacts and lists. Store customers, prospects, members or supporters in lists, with the fields you need. See contact management.
- Custom fields. Add fields for anything your organisation tracks: membership tier, branch, renewal date, preferred contact channel, or how someone first heard of you.
- Segments. Group contacts by any combination of fields and behaviour, then target a campaign at that group with segmentation.
- Forms that feed the CRM. Sign-up forms, event registrations and survey responses land directly in your contact records.
- Sync with other systems. Connect your shop, booking tool or a larger CRM through the API or integrations such as Salesforce.
Built for UK GDPR day to day
A CRM is where UK GDPR obligations become practical tasks. Mailpro makes the common ones easier:
- Subject access requests. People can ask what you hold about them, and you normally have one month to respond. With one contact record per person, answering is a search, not a hunt through inboxes.
- Consent records. Keep the date, source and wording of consent in contact fields, so you can show the ICO how each person joined your list.
- Objections and unsubscribes. An opt-out recorded once stops marketing across your campaigns.
- Data minimisation. Only create the fields you actually use, and review old contacts regularly.
Our guide to UK email marketing law covers the wider rules, including PECR consent and the soft opt-in.
Who uses it in the UK
- Charities tracking supporters, event participants and preferences, including those reached under the charitable purposes soft opt-in introduced in February 2026.
- Estate and letting agents keeping buyer and tenant requirements up to date for new-listing alerts.
- Trades and local services recording past jobs so they can send service reminders.
- B2B firms segmenting by sector and account manager.
Where your contacts live
Your contact base is one of your most valuable assets. Mailpro stores it on private Swiss infrastructure, outside US jurisdiction, encrypts connections with TLS 1.3 and never sells or rents your data. The UK recognises Switzerland as adequate for data protection, so storing UK contacts there is straightforward. Mailpro has been doing this since 2001.
Not sure what a CRM should do for a business your size? Read what CRM means for UK organisations. Mailpro is priced by sends, not by contacts, so a large database doesn’t mean a large monthly bill.
