A form is often the first time someone hands you their personal data. For a British organisation, that moment carries legal weight: the wording on the form decides whether you can email or text that person later, and UK GDPR expects you to explain at that point what you will do with their details. Mailpro’s form builder is designed around that moment, and the responses go straight into your contact lists.
Forms UK organisations build with Mailpro
- Newsletter sign-ups for shops, publishers and charities.
- Event registrations for open days, conferences, charity runs and workshops.
- Enquiry and quote requests for trades, agencies and professional services.
- Booking and application forms for classes, volunteering and membership.
- Feedback and complaints forms, which also help meet the requirement, since June 2026, to have a process for data protection complaints.
Consent built into the form
Under PECR, marketing consent for email and SMS must be specific and actively given. In practice:
- use separate, unticked boxes for email and for SMS;
- say who will contact them and roughly how often;
- link to your privacy notice next to the submit button;
- don’t make marketing consent a condition of booking or enquiring unless it is genuinely necessary.
Pair your form with double opt-in to confirm new subscribers and keep a clear record. Our guide on permission to send email campaigns has wording examples.
Designed for British details
Use a postcode field rather than a US-style ZIP, and accept mobile numbers in both 07 and +44 formats. Ask only what you need: data minimisation is a UK GDPR principle, and shorter forms are completed more often. If you work in Wales, consider offering the form in Welsh as well as English. Forms that ask about health, such as clinic intake forms, collect special category data and need extra care.
Features that save time
- Templates and design. Start from a template and customise the design to match your brand.
- Branching logic. Show questions based on earlier answers with conditional logic.
- Alerts and confirmations. Notify your team of new entries by email and send the respondent a confirmation.
- Spam protection. Add a captcha and filters to keep bots out of your lists.
- Sharing. Embed on your website, share a link by email or SMS, or print a QR code for a shop counter or event stand.
See how your forms perform
A form that gets plenty of visits but few submissions has a problem you can fix. Form statistics show views, completions and answers as they arrive, so you can spot the field where people give up. Common culprits on UK forms are compulsory phone numbers, long address blocks and unclear consent wording. You can export responses to a spreadsheet for your team or connect them to automations, such as a thank-you email or a follow-up call list.
Forms, email and SMS in one place
Because forms live in the same account as your campaigns, every submission can trigger the next step: a welcome email for a newsletter sign-up, a reminder text the day before a booked event, or a survey after a workshop. There is no separate tool to connect and no CSV to import each week.
Where responses are stored
Form responses stay on Mailpro’s private Swiss infrastructure, outside US jurisdiction, and are never sold or rented. The UK recognises Switzerland as adequate, which keeps international transfer questions simple.
