A subscription form is the front door to your email and SMS marketing. In Ghana it is also your main piece of legal evidence: section 40 of the Data Protection Act, 2012 (Act 843) requires prior written consent before using personal data for direct marketing, and a stored online sign-up is a practical way to meet that standard.
What a good sign-up form includes
- A clear promise. “Monthly offers from our Spintex store” or “Weekly market prices for cocoa buyers”, not just “Subscribe”.
- Minimal fields. Email address, plus first name if you will personalise. Add a mobile number only if you plan SMS.
- Separate consent per channel. One unticked box for email, one for SMS.
- A link to your privacy notice. Explain who you are, what you will send and how to unsubscribe.
Building it in Mailpro
- Open the sign-up form tool and choose the mailing list new subscribers should join.
- Add fields and write consent text in plain English.
- Switch on double opt-in so each subscriber confirms by email, which gives you stronger evidence and a cleaner list.
- Customise the confirmation email and the thank-you page, perhaps with a welcome discount in GH₵.
- Publish: embed the form on your site, share the link, or print a QR code.
Example consent wording
Keep it plain: “Yes, send me monthly offers and news from [Your Business] by email. I can unsubscribe at any time.” For SMS, a separate box: “Yes, send me occasional offers by SMS.” Avoid pre-ticked boxes and avoid bundling marketing consent into your terms and conditions.
Where to place it
Online, put the form on your homepage, your contact page and at the end of blog posts. Offline, a QR code at the till, on receipts, on delivery packaging or at your stand at a trade fair works well. Many Ghanaian businesses also share the link in WhatsApp status updates and in their Instagram bio.
Incentives that work
A small reason to sign up lifts conversions: a first-order discount in GH₵, free delivery within Accra, early access to a sale, a downloadable price list for traders or a monthly market update for farmers. Make sure the incentive matches what you will actually send, so subscribers are not surprised later. And keep consent separate from the incentive: people should be able to claim a voucher without agreeing to SMS marketing if they prefer email only.
Keep the list healthy
Send a welcome email straight away, while interest is high. Honour unsubscribes immediately, as both Act 843 and the Electronic Transactions Act, 2008 (Act 772) require. For more on the legal side, see email marketing law in Ghana.
