Setting up an automated email takes less time than writing a single campaign, and it keeps working for months. This guide walks through the process in Mailpro using a realistic Indian example: an online store in Jaipur that wants to welcome new subscribers and remind them before its Diwali sale ends.

Before you start: three decisions

  1. What starts the automation? A new subscription, a click on a link, a date (such as a birthday or deadline), or an action in your own system through the API.
  2. Who is it for? All subscribers, or a segment such as Hindi-language contacts or customers in Rajasthan.
  3. Is it marketing or service? Marketing messages need consent under the Digital Personal Data Protection Act 2023 and must include an unsubscribe link. Service messages, like order confirmations, should stay free of promotions.

Types of automation you can build

  • Welcome emails: sent as soon as someone joins a list.
  • Link-click emails: sent when a contact clicks a chosen link, for example “Show me men’s kurtas”.
  • Deadline emails: sent a set number of days before or after a date, useful for sale endings, fee dates or event reminders.
  • Birthday emails: sent each year on the contact’s birthday.

Step-by-step setup

Step 1: Collect contacts with consent

Create a sign-up form with an unticked consent checkbox and a short notice explaining what you will send. If you want to automate by language, add a “Preferred language” field. Our guide on creating a subscription form covers the details.

Step 2: Create the email

Log in to Mailpro, create your message from a template and personalise it with fields such as first name and city. Keep it short and mobile-friendly; most of your subscribers will read it on a phone.

Step 3: Choose the trigger

In the automation section, choose the type (welcome, link click, deadline or birthday) and link it to the right list. For the Jaipur store, the welcome goes out on subscription and a deadline email is set for two days before the sale ends.

Step 4: Set the timing

Decide how soon after the trigger each email goes. A welcome works best immediately; a follow-up after a link click can wait a day. Because all of India runs on IST, you do not need separate time-zone rules for domestic subscribers. If you have customers abroad, create a separate list for them.

Step 5: Test on real devices

Send a test to yourself and a colleague on both Android and iPhone, in Gmail and at least one other mailbox. Check Hindi or regional-script text displays correctly and links open the right landing page.

Step 6: Activate and monitor

Switch the automation on and check its statistics after the first week. If one email in the sequence has a much lower click rate, rewrite it first. Our page on automated email statistics explains what to look for.

Ideas for Indian businesses

  • Edtech: a five-day onboarding series for new students, then reminders before each live class.
  • Fintech: a welcome series explaining KYC steps, with product education spaced out afterwards.
  • D2C: a welcome offer, a “how to choose your size” email, and a festive-sale reminder.
  • B2B SaaS: a trial nurture sequence that ends with a demo invitation.
  • Clinics and gyms: renewal reminders and seasonal health tips, sent with consent.

Keep improving

Review each automation every quarter: update offers, check links, and refresh festival references so a Diwali reminder does not run into Christmas.
