Destination weddings are a real business on both islands, and every enquiry starts with a form. This walk-through builds one for a fictional wedding venue on Nevis. Swap the fields and it becomes a restaurant booking form in Basseterre, an enquiry form for a real-estate project, or a registration form for a conference.

Step 1: Start a new form

In your Mailpro account, open the form builder and choose a blank form or a template. Give it an internal name, such as Wedding enquiry 2027, so you can find it later.

Step 2: Ask only what you need

Every extra field lowers the number of people who finish. For our venue:

  • names of the couple;
  • email address;
  • mobile number;
  • preferred month and approximate guest count;
  • whether they need rooms, and on which island;
  • a free-text box for questions.

The Federation’s Data Protection Act, 2018 expects data to be adequate but not excessive for its purpose, so resist the urge to ask for everything at once.

Step 3: Get the phone format right

Couples will enquire from many countries. Add a note under the phone field asking for the full international number, for example +1 869 for local numbers or +44 and +1 for guests abroad. It saves time when you want to send an SMS later.

Add two separate, unticked checkboxes: one to receive email news and offers, one for text messages. Above the submit button, add one sentence saying how you will use the details. This supports the consent approach of the Data Protection Act and the stricter rules that some overseas couples bring with them, such as the GDPR or CASL.

Step 5: Style it

Use your colours and logo, and a photo of the venue at sunset with Nevis Peak behind. Check how it looks on a phone, since that is where most enquiries come from.

Step 6: Set what happens next

Choose a thank-you message and an automatic confirmation email. Then connect the form to a contact list using form-to-contact synchronisation, so new enquiries join your wedding-leads list.

Step 7: Publish and share

Embed the form on your website, link to it from social media and put a QR code on printed brochures. Mailpro’s sharing options give you the link, the embed code and the QR code in one place.

Once it is live: track where enquiries come from

Add a hidden field or a short question such as How did you hear about us? Wedding couples often find a venue through a planner, a travel agent, a social post or a friend who attended a wedding on the island. Knowing which source produces enquiries that turn into bookings tells you where to spend next season’s marketing budget.

Step 8: Follow up

Review responses daily in the peak enquiry months. A quick, personal reply wins bookings. For those who ticked the email box, a short automated sequence with venue photos and packages keeps the conversation going.
