When a customer in Kochi says they never received their invoice, or a student in Indore insists the fee receipt did not arrive, you need more than a guess. SMTP statistics give you a record of each message your software sent through Mailpro and what happened to it.
What you can track
- Sent and delivered: confirmation that the message was accepted by the recipient’s server.
- Bounces: addresses that do not exist or mailboxes that are full, so you can correct customer records.
- Opens and clicks: whether recipients engaged with the message, useful for payment links and account-activation emails. See statistics and reporting.
- Location: where messages were opened, through geo-tracking, helpful for businesses with customers in India and abroad.
Using the data in daily operations
Customer support
Give support staff access to delivery records so they can answer “did my email arrive?” in seconds. If it bounced, they can confirm the correct address with the customer by phone or SMS.
Finance and collections
For payment reminders, an unopened email is a signal to follow up by another channel before the due date. Around the financial year end, when invoice volumes spike, statistics help your team prioritise.
Data quality
Frequent bounces from one form or sales channel usually mean addresses are being typed wrongly at the point of collection. Fix the form rather than the symptom. Mistyped Gmail domains are a common cause.
Deliverability monitoring
A sudden fall in delivery or opens across all messages may point to an authentication problem or a spike in spam complaints. Mailpro’s email analysis tools help you investigate.
Reading statistics carefully
- Opens are indicative. Some mail apps pre-load images, which can record opens that were not really reads, while others block images and hide real ones.
- Compare like with like. A password-reset email and a monthly statement will never have the same open rate.
- Look at trends. Week-on-week changes tell you more than a single day’s figures.
Statistics are personal data too
Records showing that a named person opened an email or clicked a link are personal data under the Digital Personal Data Protection Act 2023. Use them for the purposes you have disclosed, restrict access to staff who need them, and set a retention period. Mailpro hosts this data in Switzerland, outside US jurisdiction, and never sells or rents it.
A weekly check for small teams
You do not need a data analyst to benefit from SMTP statistics. A ten-minute weekly routine is enough for most Indian SMEs:
- Look at the bounce list and correct or remove invalid addresses in your store, ERP or CRM.
- Check that delivery rates for invoices and receipts are steady compared with last week.
- Scan for any unusual drop in opens on a particular message type, which can mean it is landing in spam.
- Before busy periods such as the festive season or the financial year end, review volumes so there are no surprises.
