Emails sent by software are easy to forget until something goes wrong. A client in Chicago says the invoice never arrived; a customer in Miami claims they did not receive their booking confirmation; a lead from your website form seems to have vanished. SMTP statistics turn those conversations from guesswork into facts.
What Mailpro records for each message
- Delivery result: whether the message was delivered or bounced, with the reason where available.
- Opens and clicks: when tracking is enabled, you can see engagement with each message, detailed in SMTP email tracking.
- Message-level tracking: search for a specific recipient or message with SMTP message tracking.
- Location: where messages were opened, through geo-tracking.
Overall trends are available in SMTP server statistics.
Settling delivery disputes
For accountants, law firms, property managers and other US businesses that send documents by email, being able to show when a message was delivered is practical evidence. Our article on proving invoice delivery with SMTP logs shows how to use the data when a client disputes receipt.
Reading the warning signs
Rising bounces
Hard bounces usually mean typos or outdated addresses in your CRM. Fix them at the source; repeatedly sending to invalid addresses damages your sender reputation with Gmail, Yahoo and Outlook.
Deferrals at one provider
If one mailbox provider starts deferring your messages, it may be throttling you because of complaints or a sudden change in volume. Check whether a marketing send from the same domain caused the spike.
Authentication failures
A drop in delivery after a website migration or DNS change often means SPF or DKIM records were lost. Recheck them, since Gmail and Yahoo now require authentication.
Seasonal patterns in the US
Many US businesses see software-generated email peak at predictable times: e-commerce around Black Friday and Cyber Monday, accountants before the April tax deadline, schools at the start of the fall semester. Compare those weeks with a normal period to understand how your volume and delivery behave under load.
A simple monthly check
- Compare this month’s delivery rate with last month’s.
- Export hard bounces and correct those addresses in the system that generated them.
- Look for any application that suddenly sends far more or far less than usual; it may be misconfigured.
- Confirm SPF, DKIM and DMARC still pass after any website or DNS change.
Privacy of logs
Delivery logs contain recipient addresses and message metadata, which are personal data under state privacy laws such as the CCPA/CPRA. Mailpro stores them in Switzerland, outside US jurisdiction, and never sells or rents them. Connections to the relay are encrypted with TLS 1.3.
