A basic outgoing mail server tells you almost nothing once a message leaves your system. If a guest in Toronto says the booking confirmation never arrived, or a customer in Spanish Town disputes receiving an invoice, you have no way to check. Mailpro records what happens to each email sent through its SMTP relay, so you can answer those questions in seconds.

What Mailpro records

MetricWhat it tells you
Sent and deliveredWhether the recipient’s mail server accepted the message
DeferredTemporary problems, such as a full mailbox or a busy server; delivery is retried
Hard bouncesPermanent failures, such as a non-existent address
OpensWhether and when the email was opened, where tracking is enabled
ClicksWhich links were clicked, for example a “view invoice” or “manage booking” button
LocationCountries where messages were opened, via geo-tracking

These appear alongside your campaign data in Mailpro’s reports, and developers can pull them through the API.

Using the data in daily operations

Customer service

When someone says an email is missing, search for their address. If it was delivered, ask them to check spam or promotions. If it bounced, the address may be misspelt, a common issue when details are typed at a busy front desk or taken over the phone.

Cleaning records

Repeated hard bounces mean an address is dead. Jamaica’s Data Protection Act, 2020 asks you to keep personal data accurate, and mailing dead addresses also harms your sender reputation. Update or remove them regularly.

Spotting delivery problems early

A sudden rise in deferrals or bounces to one provider, such as Gmail or Outlook, usually points to an authentication or reputation issue. Check your SPF, DKIM and DMARC records and review recent changes to your sending. Our blog on common SMTP errors helps decode the error messages.

Timing and geography

Statistics also reveal when and where your transactional emails are read. A Jamaican e-commerce business may find that order confirmations to diaspora customers are opened late in the evening Jamaican time, which is the next morning for readers in London. Jamaica stays on Eastern Standard Time all year, so remember the shifting difference with North America between March and November when you interpret hourly data.

Privacy considerations

Open and click tracking on transactional emails produces personal data about individual recipients. Use it for legitimate operational purposes, keep access limited and don’t repurpose it for marketing profiles without a proper basis under Jamaica’s Act. Mailpro keeps the data in Switzerland, outside US jurisdiction, on private infrastructure.
