This page summarises Mailpro’s privacy policy and how we handle your personal data. The full Terms and Privacy Policy are available in your account — this FAQ highlights the key points so you can find them quickly.
What personal data we collect
Account name, email, mailing address, phone number, and any information you provide while using the service. We collect this when you register, place orders, subscribe to our newsletter, fill out forms, or contact support.
How we use your data
To answer your queries, process payments, issue invoices, send periodic product updates, and maintain contact after a support exchange. We do not sell or transfer personal data to external parties without notifying you.
How we protect your data
Data is hosted in our Swiss data center. Transfers use TLS encryption, passwords are hashed with bcrypt, and two-factor authentication is available. Card payments are handled by PCI-compliant partners (Datatrans AG, Stripe, PayPal, PostFinance) — no card data is stored on our servers.
Third-party processors we work with
- Cloudflare — CDN and Web Application Firewall to deliver fast, secure access. Personal data shared with Cloudflare is limited to what is strictly necessary.
- Mailpro AI / OpenAI — AI features (newsletter generation, translation, validation, analysis) transmit your prompts to external AI providers. Avoid feeding sensitive or third-party data into AI tools.
- Google Ads — we run conversion tracking on our marketing site. Data collected this way is anonymised and used to evaluate campaign effectiveness.
How long we keep your data
Account data is kept while your relationship is active. After voluntary closure, account data is deleted within 45 to 60 days, except billing records retained for Swiss accounting obligations. Inactive accounts (no login, sending, or billing for 12 months) may be deleted automatically. Campaign statistics last up to 5 years; bounces 1 year; soft bounces 6 months. See the retention rules.
Your rights under GDPR
Access, rectify, port, or erase your data — full details in our user rights page. If you are outside the EU, GDPR can still apply when you target EU residents.
Cookies and tracking
